SailFuture is a purposefully disruptive, private non-profit organization headquartered in St. Petersburg, Florida. Our mission is to develop innovative programs that empower hard-to-reach youth to transform their life outcomes.
We provide a full continuum of care: from long-term housing and mental health services to a private high school, workforce development programs, career-aligned internships, and international sailing expeditions. Our goal is to empower young people to achieve economic freedom and social mobility through hands-on education, job training, and transformational life experiences.
We take a holistic approach to preparing youth for adulthood. We combine therapeutic support, rigorous academics, real-world work experience, and adventure-based learning. Most importantly, we create a community of trust and accountability that helps young people build the resilience, leadership, and purpose they need to thrive long after they leave our care.
Administrative Coordinator Position
The Administrative Coordinator is a backbone of SailFuture’s mission, ensuring that our programs run smoothly so staff can stay focused on what matters most, changing the lives of the youth we serve.
This role is full of purpose and impact, taking on the essential administrative and organizational work that allows our direct-care staff, teachers, and program managers to devote their energy to building relationships, mentoring students, and delivering transformative experiences.
By managing the details, from schedules and records to communication and reporting, the Administrative Coordinator removes barriers, creates clarity, and keeps the entire team aligned. This position is not just about keeping things organized; it is about making sure every young person we serve has a seamless, well-supported experience from the moment they walk through our doors.
Responsibilities include:
Talent Acquisition
- Source, screen, and schedule interviews for candidates to fill open positions efficiently
- Coordinate and communicate with hiring managers throughout the hiring process
- Assist in coordinating hiring events
- Build and maintain a pipeline of qualified candidates for future needs.
Child Welfare Compliance and Documentation
- Monitor and Submit weekly, monthly, quarterly, and annual compliance for SailFuture Group Homes
- Prepare for and coordinate Annual Re-Licensure process for Group Home
Human Resources
- Maintain schedule for employee reviews and send reminders to program directors
- Coordinate and manage background screens across the organization
Accounts Receivable
- Invoice or bill Medicaid, Step Up for Students & Residential foster care services
- Follow up, track and ensure invoices and services are paid in a timely manner
Special Projects
- Grant Compliance
- Hardware provisioning
- Accreditation Management
- Vehicle and vessel registration
Records Management
- Student / Client records
- Medicaid notes
- Licensure requirements
Other duties as required
Qualifications:
- Must be technologically savvy and highly comfortable working in a digital environment (Platforms: Salesforce, Slack, Notion, Google Docs, Google Admin, Nest, etc.)
- Self-starter who is able to work independently
- Problem solver with strong critical thinking skills
- Previous accounting experience, preferably with Quickbooks Online
- Detail oriented
- Meticulously organized
- Ambition to learn and grow
- Excellent verbal and written communication skills

Compensation:
- Salary: $45 - $55k annually
- $250 per month employee health contribution
- 401k with 6% match
- 10 Days PTO Annually
- 7 Paid Holidays Annually
SailFuture is a small team and values in-person collaboration. This position reports directly to our business manager and maintains a Monday thru Friday, 8am - 5pm.
